The Apollo playbook

Apollo runs the sequences. Your domain still has to earn the inbox.

Apollo does not send on your behalf or run its own mail servers: sequences go out through the Gmail, Outlook or other mailboxes your reps link. Its optional warmup comes from a third party, Warmbox.ai. Keep every sequence where it is. Add the domain here and we build its reputation while Apollo keeps sending.

The Apollo playbook

Keep sending from Apollo. Warm the domain here.

Step 1

Link and authenticate your mailboxes

Gmail and Outlook link by sign-in with delegated permissions; other providers link through Nylas, which does not support transactional services such as Amazon SES. Apollo shows SPF, DKIM and DMARC status for each mailbox domain under Domain setup, but the records live at your domain, not in Apollo.

Step 2

Know what Apollo’s warmup does

Warmup is run by Warmbox.ai, a third party, on select plans. It sends system-generated test messages from your mailbox to a private network of inboxes that open and reply, never your sequence content, and it does not count toward Apollo’s sending limit.

Step 3

Add your sending domain to Inbox Boost

Add the domain your mailboxes send as, the one in your From address, such as outreach.yourbrand.com, and we build its sender reputation for you, alongside whatever warmup you run. Nothing to connect: no API key, no app, no mailbox sign-in, no change to your Apollo account.

Step 4

Keep every sequence running in Apollo

Sequences, steps and per-mailbox limits stay in Apollo, which suggests starting each mailbox at 50 emails a day and scaling by linking more mailboxes. Mailbox providers score the domain in your From address, so the reputation built here counts for every mailbox sending as outreach.yourbrand.com.

Step 5

Check where Apollo mail lands

Inbox placement tests show whether your sequence emails reach Primary, Promotions or Spam across the major mailbox providers, and blacklist monitoring keeps watching the domain once it is warm.

  • Nothing to connect: no Apollo API key, app, integration or mailbox sign-in
  • Nothing to change: sequences, linked mailboxes and limits stay exactly as they are
  • Every rep’s mailbox: the reputation belongs to the domain, so it counts for each mailbox sending from it
  • Watched after warmup: blacklist and authentication monitoring on your sending domain

Questions

Apollo questions, answered.

Does Inbox Boost connect to my Apollo account or mailboxes?
No. There is no API key, app or integration to install, and nothing signs in to your reps’ mailboxes. Inbox Boost works on the sending domain, and Apollo keeps sending your sequences exactly as it does now.
Apollo offers warmup. Why warm the domain too?
Apollo’s warmup, run by Warmbox.ai, works on each linked mailbox by exchanging test messages with a private network of inboxes. Mailbox providers also score the domain your mailboxes share, and Inbox Boost works on that domain itself, alongside whatever warmup you run. Nothing in Apollo has to change.
Should sequences go out from my main domain?
Apollo says never to send cold email from your primary domain: use a separate subdomain or non-primary domain, with SPF, DKIM and DMARC configured for it. That sending domain, the one your mailboxes send as and the one in your From address, is the one to add to Inbox Boost.
What do Gmail and Outlook expect from my domain?
Authentication from your mailbox provider: SPF and DKIM, plus a DMARC record aligned with them. Gmail and Outlook both require all three from bulk senders, and Gmail counts mail from a primary domain and its subdomains together. Apollo’s Domain setup shows which records are missing.
Can I see whether it is working?
Yes. Inbox placement tests show where your Apollo sequence emails land, Primary, Promotions or Spam, across the major mailbox providers, and blacklist monitoring keeps watching the domain afterwards.
